The information we collect

We only collect information that helps us respond to you. We do not use any analytics, advertising or tracking tools.

Information you give us

When you complete an enquiry form (in the pop-up, on the contact page, or beside a particular home), we collect:

  • your first and last name;
  • your email address and phone number;
  • your town of residence;
  • which homes you are interested in (apartments, houses or the Passivhaus), and the specific plot if you enquired from one;
  • any message you choose to add;
  • the fact and time that you gave consent for us to share your details with the selling agent.

Information collected automatically

To keep the site and its forms secure, a small amount of technical information is processed on our behalf:

  • your IP address and basic device information, used by our hosting provider and by Google reCAPTCHA to tell genuine visitors apart from automated spam;
  • the essential cookies described in our Cookie Policy.

How and why we use your information

We use your information to:

  • respond to your enquiry — to send you brochures, confirm availability and pricing, arrange a viewing, and keep you updated about Castelmer Farm. Our lawful basis is our legitimate interest in responding to an enquiry you have chosen to make, and taking steps at your request before entering into a contract;
  • pass your enquiry to the selling agent so they can help you progress a possible purchase. Our lawful basis is your consent, which you give by ticking the box on the form;
  • protect the website and our forms from spam and abuse. Our lawful basis is our legitimate interest in keeping the site secure.

You can withdraw your consent at any time by contacting us using the details above. This will not affect anything we have already done with your information before you withdrew it.

Who we share your information with

We do not sell your personal information, and we never share it for anyone else’s marketing. We share it only where it is needed to answer your enquiry:

  • The agents appointed to sell and allocate homes at Castelmer Farm. Depending on your enquiry, this may include the selling agent (currently Oakley Property) and, for Discount Market Sale or other affordable homes, the appointed housing partner (currently Connells). These agents act as separate data controllers and will handle your information under their own privacy policies.
  • Service providers who act on our instructions, including our email delivery provider (Brevo, formerly Sendinblue), our website host (Rocket.net) and its security and content-delivery provider (Cloudflare), and Google (which provides the reCAPTCHA spam protection on our forms).

We may also disclose information if we are required to by law.

Sending data outside the UK

Most of your information stays within the UK and Europe. Some of our providers, in particular Google (reCAPTCHA), may process limited technical data outside the UK. Where that happens, it is protected by appropriate safeguards recognised under UK data protection law, such as the UK’s international data transfer agreement or an adequacy decision.

How long we keep your information

We keep enquiry details for 24 months after your last contact with us, after which they are deleted, unless we need to keep them longer to meet a legal or accounting obligation.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct anything that is inaccurate;
  • ask us to delete your information;
  • ask us to restrict or object to how we use it;
  • ask us to transfer your information to another organisation;
  • withdraw any consent you have given.

To exercise any of these, please contact us using the details at the top of this policy. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113, though we would welcome the chance to resolve any concern first.

Keeping your information secure

The site is served over a secure (HTTPS) connection, access to enquiry records is limited to people who need it, and we use reputable providers who are contractually required to protect your information.

Children

This website is intended for adults interested in buying a home and is not directed at children.

Changes to this policy

We may update this policy from time to time. Any changes will be posted on this page.
